How to Edit Client Information
Update client profiles to keep information accurate for service delivery, compliance, and reporting.
You can easily edit a client's profile whenever their details change, such as a new phone number, updated address, or a change in their level of care.
Who can use this feature
1. Organization Administrator
- Full access
- Can edit all client profile information for any client within their organization
2. Team Member
- Can edit client profile information for assigned clients
- Can also update related records such as assessments, assistances, notes, and assignments
3. Intern / Volunteer
- Cannot edit core client profile information (e.g. Core Identity, Demographics, HMIS, VOCA, Referral fields)
- Can update limited records for assigned clients, such as:
- Notes
- Assignments
- Assistances (if created by them)
4. Law Enforcement / Advocate
- Cannot edit client profile information
- Can:
- Add assistances
- Edit assistances they created
- Edit Files they uploaded
Before you begin: Ensure you have the correct, updated information ready to enter. If you are a Team Member, verify that the client is currently assigned to your caseload.
How to edit client information
Step 1: Navigate to Clients
- Go to the left-hand sidebar
- Click “Clients”

Step 2: Open the client profile
- Locate the client from the dashboard
- Click on their name to open their profile (Client Toolkit)

Step 3: Go to the Information section
- Ensure you are in the Information tab of the client profile
- Click "Edit" to edit any data in the Information tab.

Step 4: Locate the field to update
Scroll through the relevant sections:
- Core Identity
- Demographics
- HMIS Compliant Fields
- VOCA Compliant Fields
- Referral Information
Step 5: Update the information
- Click into the field you want to edit
- Enter the new information or select from dropdown options
Step 6: Confirm changes
- Ensure all updates are saved and reflected in the client profile
Result:
The client’s profile is updated, and all assigned team members will see the latest information in real time.
Tips / Best Practices
- Use client self-identification whenever possible for demographic fields
- Keep records updated promptly to ensure accurate reporting
- If you cannot edit a field, check your role permissions
