User Roles: Intern/Volunteer
Interns and Volunteers support client services by working with assigned clients while having limited access to data and reporting features.
What is an Intern / Volunteer
An Intern / Volunteer is a supporting team member who assists with client-related tasks such as updating notes, assessments, and services. They can work with assigned clients only and have restricted access to sensitive features like data export and reporting.
Who should have this role?
This role is best suited for:
- Interns
- Volunteers
- Junior or temporary staff
What Interns / Volunteers can do
User & File Management
- Edit their own user profile
- Upload, edit, view, and download files
- Cannot delete files
Program & Client Management
- View program profiles
- View only clients assigned to them
- View client profiles
- Add and manage enrollments for their clients
- Create and edit assessments
- Create and edit assistances
- Create and edit assignments
- Add and edit notes
- Cannot archive or delete client records
Resources & Features
- View Safety Resources
- Access Identity Arc, Jobs, and Learning Paths' modules
- Use chat features (view and start conversations)
What Interns / Volunteers cannot do
- Cannot export data (including for assigned clients)
- Cannot create or view reports
- Cannot delete files or client records
- Cannot create or manage programs
- Cannot manage users
- Cannot access organization settings
- Cannot archive or delete client records
Key Difference from Team Members
The main difference between Interns/Volunteers and Team Members is data export and reporting access. Team Members can export data and create reports about their clients, but Interns/Volunteers cannot. This is appropriate because interns and volunteers are typically temporary and may not need to generate formal reports.
Why Use Intern/Volunteer?
Use Intern/Volunteer for temporary staff, or volunteers who need to work with clients but shouldn't have full system access.
This role provides appropriate limitations while still allowing them to contribute meaningfully to client services. This role is perfect for managing temporary staff without giving them access to sensitive data export features.
